Program Navigator and Receptionist

Position Summary
The Navigator and Reception role provides essential front-line and administrative support for the Institute for the Advancement of Aboriginal Women (Esquao). This position ensures that all visitors, callers, and personnel are welcomed in a professional, respectful, and culturally grounded manner.
The Navigator and Reception person maintains an organized and efficient office environment, assists personnel with daily administrative tasks, and contributes to the coordination of Esquao’s community programs and events.
Reporting to the Director of Programs, key responsibilities include:
Reception, Main phone line, IAAW General Email
- Greet and welcome all visitors and participants to the Program Center in a friendly, professional, and culturally respectful manner, providing a great first impression of the organization. Escort them to the appropriate areas.
- Answer all incoming calls to the main line, connecting callers to the appropriate personnel.
- Respond to general inquiries, taking accurate messages to forward accordingly when required.
- Document all inquiries and concerns for future reference including questions that IAAW may not be able to address to enable IAAW to outsource support and address gaps within programming.
- Answer or forward emails received in the general mailbox promptly and accurately.
- Maintain the reception area to ensure it is clean, welcoming, and organized. Address any concerns with appropriate personnel or contractor in a timely manner.
Administrative, Communication & Coordination Support
- Assist with program navigation for those reaching out to Esquao, IAAW.
- Manage and utilize the IAAW event calendar for reference when answering questions regarding program schedules. Ensure the Communications Coordinator is kept up-to-date with workshop and event schedules.
- Administration of program event registration and evaluation through Survey Monkey and utilize Eventbrite features when required.
- Administer and coordinate all meeting room scheduling for IAAW, ensuring accurate bookings and efficient use of space.
- Set up all meeting rooms for meetings, workshops, and events, ensuring all electronic devices are functioning properly and ready for use; promptly coordinate with IT support to resolve any technical issues.
- Maintain up-to-date knowledge of the operation and functionality of all office and meeting room devices.
- Book hotels, external venues and arrange for travel for gatherings.
- Assist with the organization, preparation, and setup of workshops and events.
- Clean up of all meeting rooms after each event.
- Ordering and organizing all event meals – organize/assist with clean up of lunch spaces/kitchens.
- Manage assigned special projects.
- Assist with reports, and data input and collection.
- Maintain organized filing system.
- Maintain and secure confidential records.
Minimum Qualifications
- Well developed experience and knowledge of receptionist and administrative assistance roles
- Minimum two years of experience working in a non-profit or business environment.
- Comprehensive knowledge and understanding of the Indigenous community, especially in Edmonton and/Alberta. Preference may be given to qualified indigenous applicants.
- Valid Driver’s License. Reliable form of transportation.
- Be willing to travel and work outside of business hours when required.
- Successful completion and maintenance of clear Criminal Records Check.

- Ability to prioritize and multi-task to meet tight deadlines in a supportive team environment.
- Expert knowledge and experience with Microsoft suite of tools and internet techniques.
- Friendly, professional, and kind to promote positive working relationships.
