Finance Assistant

Location: Edmonton Office
Term: Full time permanent
Time: 8 hours per day, 4 days per week (Monday – Thursday)
Salary Range: Based on experience.

Position Summary

Esquao, the Institute for the Advancement of Aboriginal Women, is currently seeking to fill two positions for the role of Finance Assistant. The Finance Assistant keeps accurate records and handles daily financial tasks: preparing invoices, inputting financial data, and maintaining financial documentation.

 

Reporting to the Finance Supervisor, Key Responsibilities Include:

  • Invoice Processing: Review, verify, and process invoices accurately and efficiently in accordance with company policies and procedures.
  • Payment Processing: Authorize and schedule payments to vendors.
  • Vendor Management: Communicate with vendors regarding invoice discrepancies, payment inquiries, and resolution of issues in a professional and timely manner.
  • Expense Reimbursement: Process employee expense reports, verify receipts, and reconcile expenses with Esquao’s policies before reimbursement.
  • Account Reconciliation: Perform monthly reconciliation of vendor statements and resolve any discrepancies to ensure accurate financial reporting.
  • Data Entry and Coding: Enter invoice data into the accounting system with correct general ledger coding and ensure accuracy of financial records.
  • Reporting: Generate and distribute reports on accounts payable aging, outstanding payments, and cash flow projections as required by management.
  • Compliance: Ensure compliance with company policies, accounting standards, and regulatory requirements related to accounts payable processes.
  • Documentation and Filing: Maintain organized and up-to-date records of invoices, payments, and other accounts payable documents for auditing and reporting purposes.
  • Staff time tracking: Review staff timesheets to ensure the employee’s time is accurately recorded and complete. Work with employees to resolve errors.
  • Process staff requests and provide relevant information: Keep track of additionaldetails such as employee vacations, time off, or sick leave.

 

Minimum Qualifications

  • Experience in non-profit accounting.
  • Successful completion and maintenance of clear Criminal Records Check including Vulnerable Sector.
  • Valid Driver’s License.

 

Requirements

  • Citizenship: Canadian citizen or permanent resident (eligible to work in Canada).
  • Language: Fluency in English is essential. Bilingualism in an Indigenous language is a strong asset.

 

Knowledge and Skills

  • Knowledge and commitment to the principles and values that guide the work of Esquao, the Institute for the Advancement of Aboriginal Women.
  • Knowledge of Generally Accepted Accounting Principles (GAPP).
  • Excellent organizational skills to prioritize tasks and meet deadlines.
  • Clear and effective communication skills, both verbal and written.
  • Strong attention to detail and accuracy in data entry.
